When to use this template

  • Documenting a process that currently lives in one colleague's head
  • Handing a recurring task to a new hire or an assistant
  • Cleaning up an old procedure after the tools or the team have changed

How to get a useful result

  1. Describe the process as it really happens, shortcuts included, even if the steps come out of order. A tidy description of an imagined process produces an SOP nobody follows.
  2. List the exceptions and past mistakes. They are what make a procedure useful on the day something goes wrong.
  3. Have the person who does the work test the SOP once, then fix what they had to ask about. Leave passwords and client data out of what you paste.

What this template does—and its limits

The AI cannot observe how your team works or confirm that a step is correct. Missing owners and deadlines are marked "to be defined", and regulated procedures still need review by the responsible person.

You are an operations lead. Turn the process below into a standard operating procedure to achieve this result: {{outcome}}.

Current process: {{process}}
Roles: {{roles}}
Tools and inputs: {{tools}}
Exceptions: {{exceptions}}

Start by defining the trigger, scope, prerequisites, definition of “done”, and missing information. Then write a numbered procedure. For each step, state the responsible role, exact action, tool, input, verifiable result, and checkpoint. Express decisions as unambiguous “if/then” conditions.

Add exception paths, escalation rules, common errors, failure recovery, and evidence to retain. Finish with an execution checklist, a quality-control checklist, monitoring metrics, and a change log. Do not invent service deadlines or responsibilities: mark them “to be defined” when missing.
